The Lease Administrator is an individual contributor who will oversee the lease administration function including all aspects of Intuit’s multi-million square foot real estate portfolio including oversight of the outsourced lease administration vendor, as well as assist the Senior Real Estate & Strategy Manager in executing lease transactions of various types across Intuit’s expanding global portfolio.
What you'll bring Bachelor’s Degree or equivalent experience in Corporate Real Estate Administration related fields 5 years’ experience in Real Estate, Property Management, Corporate Finance or Lease Administration functions California Public Notary qualification preferred Familiarity with basic real estate law Proficient in basic software platforms (Google Suite, MS Office Suite) and typical Lease Administration platforms How you will lead Own the maintenance of agreements including management of master leases, amendments and contracts inclusive of budgeting and payments.
Assist with global real estate transactions with a focus on domestic or international geographies Work with internal Intuit organizations including: Real Estate, Capital Projects, Operations, Safety & Security, and Strategic Planning along with detailed interaction with the Finance, Purchasing and Legal departments to ensure outstanding results.
Ensures that all of Intuit’s property related functions: including AP, AR, Risk Management and Tax are maintained in compliance with Intuit’s contractual obligations and internal financial controls.
Work with, and maintain excellent relationships with external groups, including: landlords, sub-tenants, real estate brokers, and vendors.
Lease and Contract Management Understand complex real estate contracts and clearly identify obligations and rights across a limited variety of contract types and geographic locations Manage lease administration vendor, including regular meetings to review quality of service and performance to specifications, and on-boarding/off-boarding of team members in Intuit systems Manage compliance with lease agreements and contracts Ensure accurate documentation of lease related information, payables, receivables, and deposits Work with outside legal counsel to draft and review formal legal notices Communicate effectively with landlords and subtenants regarding contract issues and with Intuit key contacts as needed Manage security deposits including requesting reimbursement and repayment to subtenants Perform first line approval/audit of monthly lease-related payables and follow through to ensure timely approval and payment Execute contract audits internally and with assist of external partner Initial review of annual expense invoices and Common Area Maintenance charge reconciliations, and coordination with outsourced lease administration vendor to determine if audit is warranted Work with internal partners to ensure insurance, finance and accounting requirements are met Resolve internal Intuit issues relating to payables, legal documentation, etc.
Assist with preparation of annual budgets, SEC reports; assist with inputs to Corporate Accounting for write-off tracking Produce written communications to all relevant stakeholders and contacts Produce relevant real estate information and report metrics as required Manage physical and digital lease files Partner with Real Estate & Operations Managers to promote a positive relationship with Intuit Landlords Manage process to capture landlord tenant improvement allowances and other incentive items, request landlord approval for tenant improvement plans and manage tenant improvement allowance reimbursements Document all required restoration obligations from lease documents and landlord consent letters Demonstrate expertise in quality assurance tools, techniques, and standards Real Estate Management Engage with our brokerage partners to complete quarterly and bi annual market reports & benchmarking Execute micro and pan-area real estate market analyses Interface with multiple internal stakeholders to define Intuit requirements Engage external market to develop potential solutions that balance short-term and long-term view Negotiate small real estate transactions with Landlords or sub-tenants as needed, to include executive suites and renewals ensuring maximum flexibility Develop and apply knowledge of basic design, construction and building systems Complete needed administration in support of real estate transactions and decision-making efforts Able to integrate and communicate to internal and external teams the technical, legal and financial components of transactions.
Manage purchase orders and invoice processing for external real estate legal counsel vendors Technical/Functional Skills In addition to the technical skills specific to the role, you will: Exercise good judgment and acts with integrity Work with moderate guidance Prioritize work with some assistance With supervision, conduct or coordinate project of moderate business impact and financial consequence Lead and influence across organizational boundaries and drive real estate initiatives and transactions end-to-end Apply knowledge of basic real estate fundamentals, lease terms, accounting practices, and lease negotiation.
Develop and apply an understanding of Intuit’s businesses, accounting structure and internal processes Respond to day-to-day operational priorities while still making progress on project work Be comfortable operating in an environment of ambiguity and fluidity
