Ferris & Britton, a boutique business law firm in downtown San Diego, is looking for a part-time office administrator.
The law firm administrator will oversee non-attorney staff and perform a variety of financial, operational, and administrative support tasks to facilitate the efficient operation of the law firm.
*Duties/Responsibilities *
* Manage the day-to-day operations of the firm
* Assist the firm’s new client intake process
* Manage the firm’s monthly invoices to its clients (subject to the partners’ direction), including generating and circulating monthly billing for attorney review, making updates to pre-bills as requested, disseminating finalized invoices to clients at the end of the billing period, and corresponding with clients regarding any inquiries
* General bookkeeping, including recording and maintaining the firm’s financial transactions such as purchases, expenses, invoices, and payments; prepare cash flow and cash receipts reports
* Manage equipment, office supplies and services, and facilities, and act as liaison with IT and other vendor providers
* Oversee general office and facilities maintenance, repairs, and enhancements
* Act as a liaison to the partners regarding all operations that support client services and needs of the legal staff
* Assist in recruitment of hiring new firm employees, including scheduling of interviews
* Ensure effective coordination of all new hire and departure logistics
* Manage the firm’s time and attendance for employees, including PTO, leaves of absences, and employee assistance
* Create and update HR records
* Manage mail pickups and drop-offs, and process mails
*Preferred skills and qualifications*
* Bachelors degree preferred, or commensurate experience
* 3-5 years of experience in an office manager/legal administrator position
* Bookkeeping experience
* Excellent organizational and project management skills
* High attention to detail
* Strong communication and interpersonal skills
* Ability to handle sensitive/confidential information
* Proficiency with Microsoft Office Suite (Excel, Outlook, Teams, and Word)
* Experience with Tabs3, PracticeMaster, and Worldox is a plus
*Availability Requirements*
* Full-Time Monday-Friday, during standard business hours
* Must work in office, but occasional remote work possibilities following introductory period
*Compensation*
* $67,000-80,000 salary, depending on experience
