The Director – Asset Services / Property Management will be responsible for overseeing project operations, tenant relations, and tenant improvement management activities for a single asset, multi-building asset, and/or a portfolio of properties.
In addition, the Director – Asset Services / Property Management will be responsible for assisting in many aspects of the Company’s operations, including, but not limited to, tenant leasing, tenant improvements, new construction, and due diligence activities as necessary for the San Diego region and beyond, as needs and growth dictate.
The individual will be a self-directed and motivated individual capable of managing both large and small project teams and resolving complex issues in a timely manner while prioritizing and handling multiple projects simultaneously.
Essential Duties & Responsibilities: Property Management: Perform property management functions, including, but not limited to, physical inspection of the property and tenant spaces at least once a month or as needed.
Oversee the management of third-party building engineers.
Oversee and track scheduled capital projects and routine annual/quarterly maintenance projects to ensure on-time, on-budget completion.
Manage and coordinate capital improvement and maintenance projects so that tenants experience minimal business interruption.
Oversee, manage, and/or perform other property management functions required of the position and assigned project(s).
Financial Reporting: Perform accounting functions using the Company’s management control system.
Prepare weekly, monthly, quarterly, and annual reports in accordance with Company protocols and requirements.
Participate in the development and preparation of annual property operating budgets.
Ensure timely collections of monthly rents.
Reconcile financial statements, ledgers, and operating expenses.
Tenant & Life Science Community Relations: Respond quickly to tenant requests and questions as appropriate.
Develop relationships with management and facility representatives for each tenant.
Participate in industry events in order to maintain and expand the Company’s presence in the science and technology communities.
Implement “tenant touch” programs.
Property Operations/Tenant Improvement Support: Participate in property operations setup, including, but not limited to, back-of-house operations, major building equipment commissioning, and operations and engineering team oversight.
Support tenant improvement projects, including, but not limited to, work letter administration, tenant plan review, architect and contractor engagement and management, budget and tenant improvement allowance monitoring and management, and project closeout.
Facilitate showings in newly developed buildings.
As directed by the Company’s senior management, support tenant buildouts and building system and mechanical upgrades, including capital project oversight and implementation.
Facilities Services: Recommend capital improvements and operational changes for existing facilities to further corporate sustainability goals.
Maintain proper communication with tenants to ensure maintenance and repairs are handled properly and efficiently.
Provide or assist in technical support for facilities maintenance, working with vendors to correct problematic HVAC issues as needed.
Provide or assist in monitoring and troubleshooting building mechanical systems and security systems, with some on-call responsibilities as needed.
Provide or assist in the planning and implementation of capital construction projects as needed, specifically as it relates to building support and maintenance.
Coordinate with tenants, tenant contractors, and landlord contractors to minimize disruptions or loss of essential services and allow for completion of tenant improvement and capital projects.
Qualifications & Experience: Bachelor’s degree required.
At least 5 years of proven success in the asset/property management industry with direct experience setting up operations as well as operating and managing sophisticated facilities.
CPM, RPA, LEED AP, or equivalent real estate industry designation(s) preferred.
Strong communication and financial skills required.
Experience with tenant improvement projects.
Ability to work varying and flexible schedule to include obligations outside of regular business hours.
Proficient skills in spreadsheet preparation and a working knowledge of all Microsoft Office products, including Excel, Word, and Project.
The expected base salary range for this position is $100,000 to $115,000 USD annually.
This salary range is an estimate, and the actual salary may vary based on the consideration of many factors, which may include, but are not limited to: the individual’s knowledge, experience, education, qualifications, skills, job location, and the Company’s compensation practices.
