ROLE OVERVIEW and PURPOSE The Operations Coordinator will support operations procedures, programs, and team trainings to ensure efficient and effective operational processes.
This role will support management by facilitating training opportunities to staff and volunteers working in the Operations Department.
Additionally, this role will provide transportation for Neighborhood Healthcare (Neighborhood) departments providing services in the community.
RESPONSIBILITIES Creates and develops forms, such as digital QR and online patient forms Provides routine clerical and administrative support to Operations Department Files and retrieves organizational documents, medical records, and reports for requesting NHC departments Coordinates, prepares, and attends meetings and conferences, including preparing agendas and taking minutes, as needed Provides orientation and ongoing trainings to new hires, volunteers, and existing employees assigned to the Operations Department Acts as a resource person for Site Managers regarding policies, procedures, and various funding sources Collects and compiles operational dashboard reports and site report cards Runs reports and obtains data from the electronic medical records system, such as department analytics Works closely with Data Analysts to ensure data collected is accurate Researches and compiles business-related information for special projects, such as ATPA and PCMH Conducts monthly site program and policy roll-out audits Assists in training of specialty services staff onsite at Neighborhood Healthcare Clinics Contributes to the success of the organization by participating in quality improvement activities Emphasizes, demonstrates, promotes, and adheres to excellent customer service skills, including professionalism, confidentiality, and proper etiquette Impacts patient experience by demonstrating courteous and helpful behavior and a commitment to accuracy Functions at highest level according to credentials and competency Shares accountability for overall patient health outcomes by working in coordination with care teams Operates to instill confidence in our care and in our facilities to patients, fellow employees, and other stakeholders Driver: Drives Neighborhood vehicles for other departments providing services in the community Maintains driving record in compliance of Neighborhood fleet policy Works with fleet team to track, organize, and coordinate maintenance for Neighborhood vehicles, including impacted departments to minimize service disruption Cleans and organizes vehicles inside and out Removes and returns vehicles from storage before and after use EDUCATION/EXPERIENCE High school diploma/GED required Completion of Neighborhood driver training course required within 60 days of hire Two years healthcare operations experience or equivalent required Completion of LEAP or two healthcare experience at Neighborhood Bilingual (English/Spanish) preferred Valid CA driver’s license and proof of auto insurance required ADDITIONAL QUALIFICATIONS (Knowledge, Skills and Abilities) Excellent verbal and written communication skills, including superior composition, typing and proofreading skills Ability to interpret a variety of instructions in written, oral, diagram, or schedule form Knowledgeable about and experience with principles and practices of organization, planning, records management, and general administration Ability to complete driver training to become certified to drive Neighborhood vehicles Ability to successfully manage multiple tasks simultaneously Excellent planning and organizational ability Ability to work as part of a team as well as independently Ability to work with highly confidential information in a professional and ethical manner Neighborhood Healthcare offers a generous benefit plan that includes: Partially company paid Medical, Dental, and Vision Plans.
