The division of Medical Education within the UC San Diego School of Medicine consists of the following units: Undergraduate Medical Education, Admissions & Student Affairs, Diversity and Community Partnerships, Graduate Medical Education, Continuing Medical Education & Faculty Development, Simulation Education, Physician Assistant Education, Anatomical Services, Business Affairs and Educational Technology.
The division supports the education, training and co-curricular activities of approximately 560 medical students, 90 physician assistant students, 1000 residents and fellows as well as the faculty, physician and healthcare providers at UCSD’s School of Medicine, its' Medical Centers, and affiliates.
Under close supervision the Financial Services Analyst will have administrative responsibility for fiscal support administration, and general operational support for the division of Medical Education.
Responsible for review of operating ledgers, financial transactions and for maintaining accuracy of information recorded in the accounting system by researching, analyzing, and reconciling financial data.
Incumbent will prepare cost transfers, budget adjustment journals, transfers of funds, reimbursements, and purchasing requisitions.
Plan and follow-through with event coordination process as applicable, prepare planning budget and review post-event costs for accuracy.
Perform administrative responsibilities in support of general operations to ensure an effective and responsive business office.
Applies professional financial services concepts.
Applies organizational policies and procedures to resolve routine issues and customer inquiries.
Works on problems of limited scope.
Follows standard practices and procedures in analyzing situations or data from which answers can be readily obtained.
Receives predetermined work assignments that are subject to a moderate level of control and review.
Contacts are mostly internal with some external.
MINIMUM QUALIFICATIONS Four years of related experience, education/training, OR a Bachelor’s degree in related area.
Basic knowledge of financial or accounting concepts, processes and procedures.
Basic knowledge of financial data management and reporting systems.
Proficiency in the use of spreadsheet and database software.
Interpersonal skills, service orientation, active listening, critical thinking, attention to detail, ability to multi-task in a high volume environment, effective verbal and written communication skills and organizational skills.
Ability to function effectively as a member of a team.
Ability to adapt to changing priorities.
Basic knowledge and understanding of internal control practices and their impact on protecting University resources.
Demonstrated knowledge and experience in business office administration with strong organizational management skills.
Demonstrated ability to maintain tact, poise, diplomacy, confidentiality and hospitality with a diverse population of staff, faculty, industry, and the community in a high pressure and demanding environment.
Excellent skills in order to prioritize multiple tasks, develop, analyze and/or revise procedures, meet deadlines, and work in an environment of heavy pressures and changing priorities.

Excellent mathematical, accounting, and analytical skills to perform studies, prepare reports, and compile data.
Graduation from college with a major in finance, business administration, economics, educational administration or related field; or an equivalent combination of education and experience.

Knowledge of the principles of higher education and of an academic institution’s organization, structure, and function.
