Advise customers on applicable service needed for their motorcycles and create repair orders following established guidelines.
Provide excellent customer service by treating customers professionally and respectfully.
Display empathy towards the customer in unfortunate circumstances and show enthusiasm to boost customer morale as needed.
Keep customers regularly updated and notify whenever a change occurs.
Schedule in service jobs and notify when changes/delays occur.
Prioritize as needed to ensure deadlines are met.
Answer phone calls and emails expeditiously.
Provide customers with regular updates on repair statuses.
Maintain organization and cleanliness of the service department and office area.
Pre-stage, organize and dispatch jobs expeditiously for the technicians to ensure a steady workflow.
Know/learn the proper laws on service writing to check in motorcycles legally and accurately.
Check the VIN of motorcycles brought to the service department for open recalls/warranty.
Complete as time permits.
Know/learn how to check and write up services for PPM (Pre-paid maintenance) or extended warranty jobs.
Perform preliminary check in standard job upon intake of motorcycle to upsell as appropriate.
Gather necessary service records/history when diagnosing challenging issues.
Assist management as directed with the building of standard jobs within Lightspeed to check in customers expediently.
Collect all required front-end documentation for proper warranty claim processing, including photos, service records, proper and authorized diagnosis.
Properly organize warranty and regular take off parts.
If not returning to the customer, defer to the manager as needed on what to keep and where to keep it.
Collect proper documentation for crate damage warranty claims when new bikes are received damaged and help to uncrate as needed.
Prioritize insurance claims to receive expedient payment and get checks signed to order parts ASAP.
Work with the insurance adjusters and keep the customer updated.
Ensure deposits are collected on jobs totaling over $500 when motorcycles are aged 10 years or older, and for insurance jobs’ parts value before ordering parts.
Willingness to take on additional responsibilities as required.
Prerequisites:
2+ years of experience in the motorcycle and/or automotive fields, with 3+ years of general professional experience.
General technical background in mechanical diagnosis and repair.
Service writing experience.
High School Diploma (required)
Valid driver’s license
Insurable with a clean driving record.
Punctual.
Professional attitude, team player, organized, ability to prioritize, act quickly and rationally in a fast-paced environment.
Outstanding customer service skills with ability to diffuse delicate situations.
Good computer skills and ability to learn new systems quickly.
