*POSITION PURPOSE:*
Under general direction of the Human Resources management team, the Administrative Assistant will performs a wide variety of highly responsible, complex and often sensitive and confidential office administrative and secretarial/office support functions of the Human Resources department; ensures a high-performance, customer service-oriented work environment which supports achieving the department’s and NHA’s mission, objectives and values and performs related duties as assigned.
*Employment Requirements:* DESIRED MINIMUM QUALIFICATIONS: *Knowledge of:* * Office administrative and management practices and procedures; * Principles and practices of sound business communication; * Correct English usage, including spelling, grammar and punctuation; * NHA organization, rules, policies, and procedures, relating to the administration of the Human Resources department; * NHA’s personnel rules and regulations; * Intermediate data processing principles and the use of word processing and computer equipment and software; to include proficient in Word, Excel, PowerPoint, Microsoft Teams and Microsoft Outlook.
Record keeping, filing and purchasing practices and procedures; *Ability to:* * Operate a computer terminal and / or computer using word processing, spreadsheet, database and other standard business software; * Type accurately at a speed necessary to meet the requirements of the position; * Organize, set priorities and exercise sound independent judgment within areas of responsibility; * Interpret, apply, explain and reach sound decisions in accordance with laws, regulations, rules and policies; * Train others in work processes and procedures; * Organize, research and maintain complex and extensive office files; * Compose correspondence from brief instructions; * Communicate in English clearly and effectively orally and in writing; * Prepare clear, accurate and concise records and reports; * Maintain sensitive and confidential information; * Use tact, discretion and diplomacy in dealing with sensitive situations and concerned people and customers; * Establish and maintain highly effective working relationships with officials, staff, the public and others encountered in the course of work.
*Qualifications:* *Training and Experience:* A typical way of obtaining the knowledge, skills and abilities outlined above is graduation from high school or GED equivalent *AND* four years of increasingly responsible office administrative or secretarial experience; *OR *an equivalent combination of training and experience; 1-2 years of Human Resources experience preferred.

_ * Provides administrative and office support to the VP of Human Resources and HR department staff; * Types and/or drafts memoranda, correspondence, HR/Legal Team meeting agenda and other documents and reports; * For the VP of HR, receives and screens visitors and telephone calls, providing information and handling issues that may require sensitivity and use of sound independent judgment; * Schedules meetings, prepares agenda and minutes for special groups and coordinates the completion of staff assignments; * Monitors and assists with HR employee service requests; * Monitors and assists with HR service requests; * Assists with New Employee Orientations (NEO) and issuance of NEO training certificates; * Maintains appointment calendar for the VP of HR and manages the HR Team calendar, coordinating meetings, screening requests for the VP of HR’s time and assisting him / her with effective time management; * Coordinates and participates in purchasing equipment, materials and supplies; * Coordinates and processes purchase requests; * Receives and processes employee requests for tuition and safety shoe reimbursements; * Receives and processes employee telework stipends; * Supports time keeping for the HR department; * Processes invoices for the HR department for prompt payment to vendors in NHA EReq system Microix; Tracks procurements and expenditures for the fiscal year; * Assists, schedules and manages the issuance of employee ID badges; * Ensures materials and reports for signature are accurate and complete; * Reviews, determines the priority and routes incoming correspondence; * Participates in implementing the section’s records management procedures in accordance with the requirements of NHA’s records management program; * Assists with maintaining personnel files and documents; * Responds to general requests for information from staff, candidates, the public and other agencies; * Receives and mails out NHA or HR Department correspondence (CEO signed birthday cards, employee letters, etc.
; * Receives and processes employee verification of employment forms; * Receives and processes onboarding documents for NHA Youth Fellowship program and time keeping records; * Other duties as assigned to assist with support of the Human Resources department.
Job Type: Full-time Pay: $46,800.
