The role of Administrative / Marketing Assistant is integral in delivering outstanding customer service and providing essential administrative support to our designated department.
This position encompasses managing documentation, handling inbound inquiries, scheduling new patients, fostering patient relationships, coordinating office activities, and supporting various administrative tasks to ensure seamless operations.
*Job Description/Responsibilities*
* Maintain precise and current records of leads, clients, and projects within our CRM system.
* Utilize the CRM system to communicate with potential leads and assist in scheduling new patient appointments.
* Handle incoming calls related to inquiries from new patients and manage patient relationships.
* Assist in tracking leads, follow-ups, and coordinating prospecting activities.
* Support newsletter design and distribution, assist in organizing webinars, and manage social media posts.
* Facilitate the planning and execution of business development and company events, meetings, and presentations.
Manage logistics, handle invitations, and track event RSVPs.
* Contribute to office administration tasks, including but not limited to office supply purchasing, company venders management and communication, HR related administrative work support, etc.
* Perform other related duties as assigned by the manager.

*Experiences/Qualifications*
* High school diploma/GED or equivalent required; a bachelor's degree in business, marketing, or a related field (or equivalent work experience) is preferred.
* Demonstrated experience in administrative roles, with a preference for experience in a marketing environment.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); proficiency in Canva and Adobe Suite is preferred, and experience with Patient POP is a plus.
* Familiarity with Customer Resource Management (CRM) software is a plus (Zoho or other similar platforms).
* Experience in photo editing, webinar organization, and social media posting is preferred
