`The Executive Assistant (EA) is an exempt position that reports to the Managing Principal and Director of Finance and Operations (DOFO).
The EA will primarily provide administrative support to the Managing Principal and Director of Finance and Operations and, as needed, to the Via Healthcare Consulting team.
The EA should have the ability to demonstrate poise and professionalism representing our firm in a way that promotes our warm, client-focused culture.
*Primary Job Duties:* · Contribute to the Via strategic direction and mission · Calendar management for the CEO/Managing Principal, coordinating all meetings across national time zones with diplomacy and discretion · Manage CEO/Managing Principal time closely to ensure it is spent on the top priorities for the company · Ensure the CEO/Managing Principal is prepared for upcoming meetings, presentations, and projects by gathering materials necessary and in working closely with colleagues * Act as a liaison in relaying and exchanging information with others including on the team to and from CEO/Managing · Organize, execute, and assist with team functions (staff meeting agendas, all-hands meetings, and team events · Ability to establish close working relationships with consultants and project managers to ensure accurate calendar scheduling and clear lines of communication · Schedule meetings, appointments, and client executive interviews · Coordinate executive communications, including taking calls, responding to emails and interacting with clients · Coordinate travel arrangements and manage travel itineraries for CEO/Managing Principal · Organize client background information and other meeting materials for Managing Principal · Input meeting notes, summaries, evaluations and presentations, as needed · Maintain an organized filing system for Managing Principal and DOFO · Maintain client liaison and executive assistant relationships and coordinate related communications with current and potential clients · Interact professionally in a poised and polished manner with executives and board members · Maintain fixed asset listing and fixed assets identifications · Maintain human resources (HR) calendar (vacations, birthdays, holidays, etc) in collaboration with DOFO · Maintain pipeline list and coordinate updates and meetings · Create expense reports and timesheet for CEO/Managing Principal · Check mail daily, when in the office, and make deposits, as needed · Assist DOFO in updating various reports/schedules, as needed · Assist DOFO with invoicing and expense support schedules, as needed · Assist with updating and maintaining website and social media as needed with website designer Job Type: Full-time Pay: $62,400.
