The person hired for the Accounting Technician II position will receive the following: 7/1/2024 - 5% wage increase 7/1/2025 - 5% wage increase 7/1/2026 - 5% wage increase Prepares, maintains, and processes accounting records and financial transactions, prepares and processes payroll, billing, accounts payable, and accounts receivable.
Prepares agenda reports and requests for data.
Is responsible for general support of the Division's programs and management staff.
Receives direct or general supervision from the Finance Manager or assigned supervisor.
Exercises no direct supervision over staff.
May provide technical and function direction to lower-level staff.
Key Responsibilities Management reserves the right to add, modify, change or rescind the work assignments of different positions and to make reasonable accommodations so that qualified employees can perform the essential functions of the job.
Assists other Finance personnel in performing a variety of technical accounting duties in the preparation, maintenance and processing of accounting records and financial transactions including payroll, accounts payable, and accounts receivable.
Maintains the daily financial records on ambulance billing, including reconciling payments, performing data entry, maintaining receipt records according to prescribed guidelines, printing and auditing reports, and preparing and balancing invoices.
Researches invoices, matches to purchase orders; obtains authorization for payment; checks prices, extensions, and discounts; contacts vendors and City staff to resolve accounts payable problems; codes invoices for payment; enters account numbers, vendor numbers, amounts of payables, and related data into computer terminal; assembles accounts payable documents for approval; audits and reconciles errors; prepares accounts payable checks for mailing.
Processes payroll including reviewing timecards, leave requests, and schedules, data entry, paycheck generation; resolves inquiries pertaining to payroll, accounts payable, employee loans, and employees’ payroll direct deposits; and prepares payroll reports.
Prepares and files annual Form 1099 and quarterly Sales and Use Tax Return.
Assists with the annual preparation and distribution of W-2s.
Assists with the escheatment process of unclaimed property.
Enters and retrieves information using standard word processing and spreadsheet software.
Assists customers, departments, and employees by providing specific account information, discrepancies, basic accounting procedures and City services and billing.
Generates and assists in the preparation of monthly, quarterly, and year-end financial, summary, and technical reports, as directed.
Performs general office support duties such as filing and record keeping; prepares correspondence.
Assists professional accounting staff with special projects as required.
Maintains attendance and punctuality that is observant of scheduled hours on a regular basis.
Performs other duties as assigned.
Minimum Requirements/License or Certificates Required MINIMUM QUALIFICATIONS: Any combination of the following education and experience which demonstrates the ability to perform the duties of this classification.
Experience: Three years of responsible clerical or office support experience.
Experience with financial or accounting recordkeeping is preferred.
Education/Training: Equivalent to the completion of the 12th grade supplemented by two years of college-level coursework (i.
e.
, minimum completed California units = 60 semester/90 quarter) from an accredited educational institution in accounting, finance, or a related field.
Licenses and Certifications: A valid class C driver’s license or the ability to arrange alternate and timely means of transportation in the performance of assigned duties.
Physical Demands Must possess mobility to work in a standard office setting and use standard office equipment, including a computer, to operate a motor vehicle and to visit various City and meeting sites; vision to read printed materials and a computer screen; and hearing and speech to communicate in person, before groups, and over the telephone.
This is primarily a sedentary office classification although standing in work areas and walking between work areas may be required.
Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment.
Positions in this classification occasionally bend, stoop, kneel, reach, push and pull drawers open and closed to retrieve and file information.
Employees must possess the ability to lift, carry, push and pull materials and objects weighing up to 10 pounds.
Environmental Elements Employees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances.
Employees may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures.
Examination Process Applicants will be evaluated on the basis of relevant training and experience.
Highly rated candidates will be invited to participate in an examination process consisting of an appraisal interview.
Successful candidates will be placed on an eligibility list according to the score received.
The eligibility list established will be in effect for a period of six months.
Applicants will be notified of their eligibility status.
All appointments are subject to the successful completion of a pre-employment physical that includes a drug screening and a background investigation, including LIVESCAN fingerprinting.
