The Senior Payroll Specialist has responsibilities supporting all Payroll processes, including completing bi-weekly payroll processing by entering, researching and validating compensation and benefit related transactions, managing pay and benefit changes, ensuring accuracy and consistency of practices; and maintaining employee records and compliance with company policies.
This role is also responsible for administering employee demographic data in various systems, including the stock option tool.
Responsibilities:
Manage workflow to ensure payroll is processed with speed and accuracy and is achieved on time
Record payroll entries in the NetSuite ERP
Ensure timecards are properly completed and approved
Process accurate and timely year-end reporting as necessary (W-2, W-2c, etc.
)
Work closely with HR to manage payroll & HRIS system (Paycor), including integrations to third party tools, to ensure accurate data, set-up of employee records, validate employees’ changes, etc.
Interpret pay policies (e.
g.
, PTO, LOA, disability, workers compensation, government regulations, withholding exemptions, etc.
) and ensures appropriate amounts/deductions are calculated and applied to the various accounts correctly
Verify compliance with federal and state payroll requirements; stays current with changes in the law
Ensure all payroll related tax filings are done timely and accurately, including the set-up of new withholding, workers comp, paid leave accounts with various federal, state and local agencies
Maintain employee demographic data and status in Morgan Stanley Shareworks stock option system
Coordinate audits of internal records, 401K, workers compensation, tax filings and related documentation
Coordinate with insurance company on annual workers comp renewals and audits as well updating for new jurisdictions
Ensure all benefits and 401k are funded/paid timely; reconcile provider bills for new hires, terms and changes
Document payroll and certain HR related processes and procedures
Develop ad hoc financial and operational reporting as needed
May back up those who perform specialized tasks or activities such as stock option exercises, sales commission calculation reviews, etc.
Act as team member within Finance and HR for high collaboration across a distributed workforce
Perform other duties, tasks and projects as assigned
Qualifications:
Bachelor's degree and 6+ years of payroll experience or 8+ years of professional payroll experience in lieu of a degree
Full-cycle, multi-state payroll experience at a rapidly growing and a fast-paced company; Paycor HRIS experience is preferred
Strong knowledge of payroll, including gross-to-net calculation, disposable earnings for garnishments, payroll tax regulations, pre/post tax benefit deductions, fringe benefits, equity, and their impact to net pay
Understand federal and state regulations related to salaries, wages, taxes, benefits, and other payroll related matters
Able to handle sensitive data with integrity, confidentiality, and the utmost discretion
Have excellent analytical and problem resolution skills, and have superior attention to detail
Have effective verbal and written communication and organizational skills
Work proactively to maintain current knowledge of pay practices and regulations
CPP designation preferred
Proficient in Microsoft Office
Commutable distance to Carlsbad, CA, as this position requires a minimum of three days in office
